FOR SMALL BUILDING CONTRACTORS
Keep new project enquiries in view and know which ones still need a reply. Practical workflows for contractors working on home extensions and renovations.
Built around your process. A clearly agreed first step.
A little order, from the start.
01 / THE EVERYDAY CHALLENGE
An extension enquiry. A question about a renovation. A message to get back to after work. Keeping track is a job of its own.
Project details sit across forms, emails and notes. Finding the full picture takes another look.
It is easy to lose track of which enquiry has had a reply and which one is still waiting.
When the working day fills up, remembering to check an unanswered enquiry becomes another task.
Start with one manageable improvement: a clear record of each new form enquiry.
02 / THE WORKING DEMO
A tested enquiry workflow that records new requests, sends acknowledgements and flags records that still need a reply.
Built and tested as a demoAn example of what I have built, ready to explore in a conversation about your process.
Required fields are checked. Submissions with the same email address and message are filtered out as duplicates.
Each new enquiry is added to a spreadsheet, giving your team one place to see its status.
The enquirer receives a template acknowledgement. Your team receives an email notification.
An hourly check sends an internal reminder when an enquiry has been marked unanswered for at least 24 hours.
Your team writes the actual reply and manually marks the enquiry as answered. The demo checks the spreadsheet status; it does not read your inbox to detect replies. Acknowledgements use a fixed template, with no AI language model.
EXPLORE THE REMINDER RULE
In this example, the enquiry arrived 25 hours ago. Change the recorded status to see the difference.
Illustrative example · no emails are sent hereThe record is still marked unanswered after 24 hours, so it is flagged at the hourly check.
03 / POSSIBLE NEXT BUILDS
These are possible custom developments, not features in the current demo. Each starts with your needs and a feasibility check.
A named person, a next action and a due date for each enquiry. Internal reminders could help keep callbacks and quotations in view.
A practical next stepSuggest where an enquiry should go based on the type of project or its location, with a person checking before it is passed on.
The right enquiry, the right personPrepare a draft from approved business information. Your team checks the facts, edits the wording and decides what to send.
Human approval before sending04 / HOW WE WORK TOGETHER
We define a useful, manageable workflow before any client-specific build begins.
Let’s talk about your setupHow do enquiries arrive? Who replies? We start with the part that is difficult to keep track of.
We check what is feasible, define the scope and agree the manual steps and test scenarios.
The workflow is built around your setup, then checked against the situations your team actually handles.
You see how it works, what needs updating and how to use it day to day.
